Learn how to Filter and Navigate the Picking Scoreboard

The picking scoreboard detail window displays tasks that include stock request that are ready to be picked. 

To Pick Scoreboard

Filter by Period

Use the Filter Period dropdown to filter by Today, Yesterday, Tomorrow, This Week, Next Week, This Month, Next Month, Past Due or All.

Note: The system will remember the filter period the user selected. When the user returns to this section or logs back in, the system will automatically apply the previously chosen filter period. If no filter is selected, the system will automatically apply the "today" filter period.

 
 

Filter by Document Type

Use the Filter by Document Type dropdown to filter by Stock Request, Stock Return, Stock Transfer or All.

 
 

Search Here

The Picking window includes smart contextual searching capabilities in the Search Here field that include:

  • Document Number
  • Bill To
  • Requested By
 
 

Details

The Picking detail window displays tasks with additional information including:

  • Document#
  • Bill To
  • Date Required
  • Requested On
  • Requested By
  • Document Totals

Picking Tasks

There are 2 ways to navigate around the picking scoreboard details leading to the same task options once the order is ready to be picked.

1. Start Picking: I plan to start picking "document#" myself

2. Assign Task: I want to assign the task to someone.

3. Open Report: Launches the inventory document report in a separate window with the ability to search, print or download the report.

  • only accessible by action, not available when double-clicking. 

 

The ability for others to unassign tasks is crucial, as it impacts individual performance metrics when a task transitions from Assigned to In Transit. Additionally, the "start a task" feature should automatically begin at the moment the task is physically started, allowing ample time for it to be unassigned if someone else is available to take over.

 
 

Double Click

Double-Click into the line item to view the 2 picking tasks options:

1. Start Picking: I plan to start picking "document#" myself

2. Assign Task: I want to assign the task to someone.

 
 

Action: Start Picking

Start Picking: I plan to start picking "document#" myself

  • This task option is used for the worker to immediately start the task.
  • When the user selects "start picking" a pop up window will appear with a comment section. The comment isn't required, but a good place to put any additional information that might be required by your property.
 
 

Action: Assign Task

Assign Task: I want to assign the task to someone.

  • This task option is used for the task to be assigned to a worker to work on. When searching for the assign to, the dropdown displays associates and task count.
  • Leaving the "assign to" field blank and selecting “assign task” will assign the task to yourself.
  • Once the task is assigned to the worker, it will appear in the Assigned to Me section.
 
 

Action: Open Report

 Open Report: The Open Report action, accessible from the scoreboard grid, launches the inventory document report in a separate window, enabling users to efficiently search, print, or download the delivery sheet.

Accessing the Worksheet

Start Picking

To begin picking immediately, either double-click the document and select "Start Picking," or navigate to the Actions column and choose the "Start Picking" option.

 
 

Understanding the Picking Worksheet

The worksheet document section provides a detailed view of the worksheet document, including scoreboards for requested, picked, deliveries, and work history related to the picked stock request documents. As the document progresses through various work statuses, the scoreboard will provide access to different features. In WHS, the worksheet can be clicked to view information, but it's important to note that until the worksheet is finalized, the data can still be revised.

Column Customization

Column Customization

Within any worksheet scoreboard, users can customize the columns they wish to display based on their preferences. To do so, click the three dots in the detail window, select 'Columns,' choose the desired metrics to display, and then click 'Apply.'

 
 

 

Worker Assigned Status

When is the document in “worker assigned” status?

On the picking scoreboard, the user assigned the task. In the "assigned to me" widget, the user double-clicked the document that shows the worker assigned status document with the ability to unassign the task or start picking.

Worker Assigned Status

In the worker assigned status, the worksheet document allows users to either unassign the task or start picking. The worksheet has restricted features, providing view-only access to the requested, picked and work history scoreboards; deliveries is unavailable.

 
 

Requested Scoreboard

The Requested Scoreboard displays the amount of items open on the requested scoreboard as well as access to view items, including the ability to see item highlights, print labels, and perform item actions.

 
 

Picked Scoreboard

The Picked Scoreboard is on view mode and will become available to input information once the user selects "Start Picking."

 
 

Deliveries Scoreboard

The Deliveries Scoreboard in worker assigned is not available.

 
 

Work History Scoreboard

The Work History Scoreboard provides the work logs for the document at the worker assigned status which includes user, comments when the assignment was assigned, time and date.

 
 

 

In Progress Status

In Progress Status

When the user selects "Start Picking," the task status changes from "Worker Assigned" to "In Progress."

In the In Progress status, the worksheet document allows users to either cancel picking or finalize the picking process.

Note: If the document needs to be deleted, use the dropdown next to the finalize picking and select "Delete Document"

 
 

Requested Scoreboard

The Requested Scoreboard (see detailed scoreboard below) similar to in worker assigned status, the scoreboard is available to view the items requested, see item highlights, print labels, and perform item actions.

 
 

Picked Scoreboard

The Picked Scoreboard (see detailed scoreboard below) allows users to enter picked data before finalizing the task.

Note: The scoreboard is automatically matched at all requested items are picked.

See steps 3 & 4 for inputting information.

 
 

Deliveries Scoreboard

The Deliveries Scoreboard in progress status is not available.

 
 

Work History Scoreboard

The Work History Scoreboard provides the work logs for the document at the worker assigned and in progress status which includes user, comments, work status, time and date.

 
 

 

Requested Scoreboard

Requested Scoreboard

The worksheet's Requested Scoreboard window displays the requested items, their prices, amounts, and offers options to print labels or view item maintenance.

The requested scoreboard will displays:

  • Document Total $$ (Requested)
  • When it was Requested
  • How many items are open (blue)
 
 

Filter by Department

Allows the user to filter the requested items by either all departments or by a specific department.

 
 

Print Labels

Users can click on "Print Labels" to choose the type of label they want to print: inventory, retail, lot label or HACCP.

NOTE: Print label options vary based on the property.

Each print label option provides distinct attribute printing capabilities.

  • Inventory: Warehouse-related attributes include Storage Location, Shelf, and Carry Price.
  • Retail: Attributes related to selling items include SKUs, prices, UPCs, color, size, style, and brand.
  • Lot Label: Attributes related to the specific receipt of an item by the company include Date Received, Receipt Number, PO Number, and others.
  • HACCP: Attributes including nutritional labels, allergens, temperature checks, and other critical control factors.
 
 

Search Here

Ability to perform smart contextual searching including:

  • Product Number
  • Product Name
  • Price/Order Unit
  • Status
  • Price Origin
 
 

Requested Product

The requested items are arranged by product number, with details including the item number, item and name. To see the item highlights, click on the product.

Item Highlights

Users can view the item highlights in the product column by clicking on either the product number or description.

The item highlight includes:

  • Item header with image, status, item number, item name, unit breakdown and the add to favorite feature. 
  • Locations 
  • Suppliers 
  • UPC
  • On Hand 
  • On Order
  • Back Order
  • Due with the ability to select Today, Overdue or Tomorrow
  • Ready to Pick

Create Task

  • Create a Task from the worksheet by selecting a task type from the dropdown.

    • Optional: Additional Request Information, Priority, Assign to, Attachments.

Print Label

  • Print label options vary based on the property. 
  • Print Label per Item gives users the ability to view the label before printing.

View Item

  • Directs user to ITM
 
 

 

Picked Scoreboard

Picked Scoreboard

The worksheet picked scoreboard window shows the items requested, location, picked, remaining and the ability to print labels or view item maintenance. 

The picked scoreboard will displays:

  • Document Total $$ (Picked)
  • When it was Picked
  • How many items are Matched (green)
  • How many items are Not Picked (red)
  • How many items are Shorted (yellow)
 
 

Filter by Department

Allows the user to filter the picked items by either all departments that are picking the product or by a specific department.

Users can click on "Print Labels" to choose the type of label they want to print: inventory, retail, lot label or HACCP.

Picked Status

The Picked Status column shows whether an item has been picked or deleted.

By default, all items are marked as picked. Select "Picked" to switch the status to "Deleted."

If most of the picked items are deleted, use the "Delete All" toggle and then set the remaining items back to "Picked."

 
 

Picked Product

The picked items are organized alphabetically by product name and include details such as the item number and name. To view the highlights for each item, click on the product.

Item Highlights

Users can view the item highlights in the product column by clicking on either the product number or description.

The item highlight includes:

  • Item header with image, status, item number, item name, unit breakdown and the add to favorite feature. 
  • Locations 
  • Suppliers 
  • UPC
  • On Hand 
  • On Order
  • Back Order
  • Due with the ability to select Today, Overdue or Tomorrow

Location

The location column provides the storage details for each item, including the area, location code, and a description.

  • DS2 - Storage Area Code

On-Hand

Picked

  • Amount picked per unit
  • Picked - Matched QTY: When the item is marked as picked, the Picked column automatically shows a "matched" status. If you see a green bubble, there's no need for further processing; just confirm that the quantity in the ordered amount matches the quantity in the shipment you are receiving.
  • Delete: When the item is marked as deleted the Picked column will be blank.
  • Picked - Shorted QTY: If the item was picked but short, select the unit to enter the quantity that was picked. Since the quantity picked is less than what was requested, the Picked column will display the quantity per unit and indicate a "shorted" status.
  • The picked column will automatically match at the amount requested.

Actions

There are 3 actions available per line item: print label & view item. 

Create Task

  • Create a Task from the worksheet by selecting a task type from the dropdown.
    • Required: Summary

Picked - Validation

More than On-Hand Validation

More than On-Hand

When a worksheet is in progress, the system will perform a proactive validation to identify any items that must be corrected before finalization. If the quantity requested is greater than the on-hand quantity, the system will display a validation message stating More than On-Hand, alerting the user that the quantity requested exceeds the available stock. If the user attempts to enter a quantity greater than the on-hand quantity, the validation help message will update with specific values.

Error Message: You can not pick more than is currently on hand.

Attempting to finalize a document with the 'More than On-Hand' validation will result in an error message.

For Items with On-Hand Quantity at zero, the item will have to be toggled to “delete”, as the item cannot be picked.

For Items with On-Hand Quantity greater than zero, the user can pick the available quantity on-hand, the picked column will then display a “shorted” bubble.

When a worksheet is in progress, the system will perform a proactive validation to identify any items that must be corrected before finalization. If the quantity entered in the picked column exceeds the quantity requested, the system displays a validation message with the text More than Requested, alerting the user that the entered quantity exceeds the requested amount.

Physical Inventory Validation

The Physical Inventory validation is temporary and takes place while the physical inventory is being counted. During this time, the document cannot be finalized. You can continue processing all other items, but any items marked with the Physical Inventory validation message will need to wait until the inventory is complete.

Error Message: Item currently being counted in a physical inventory

Attempting to finalize a document when an item is being counted in a physical inventory will trigger an error message.
Once the physical inventory counts are finished, the error will automatically clear, and you will be able to finalize the document.

 
 

 

Steps for Picking a Document

Step 1: Start Picking

To begin picking, either double-click the document or go to the actions menu and select the start picking option.

Step 2: Picked Scoreboard

Once you start picking the SR, you'll be directed to the Picked Scoreboard.

 
 

Step 3: Picked Status

By default, all items are marked as picked. Select "Picked" to switch the status to "Deleted."

If most of the picked items are deleted, use the "Delete All" toggle and then set the remaining items back to "Picked."

  • Delete: if the status is set to "delete," the Picked column will be blank.
  • Picked: If the status is set to "picked," the Picked column will display “matched.
 
 

Step 4: Picked Column

  • The picked column will automatically matches at the amount requested.
  • If the amount picked is different than the amount requested, click into the column section of the item and enter the quantity.
  • Once completed the Picked column will be color coordinated by
    • Shorted
    • Matched
 
 

Step 5: Finalizing Picking

Once the picked window is complete, click "Finalize Picking," then complete the fields in the Finalize Picking pop-up window.

Deliver To: This field is automatically populated. However, if there are multiple departments listed, use the dropdown to select the delivery department. 

Assign To: Optional, used to assign the delivery task to a participant. 

  • If the "assign delivery to" section is left blank and "finalize picking" is selected, the document will be queued for other participants to start or assign the delivery task.
  • Utilizing the "assign to" will immediately assign the delivery task to the selected participant.

Comment: The comment section is optional and allows you to add a remark regarding the finalized picking or the start of delivery.

Finalize Picking: Once the pop-up screen is completed, select finalize picking. 

 
 

 

Completed Status

Completed Status

Once picking is finalized, the status will update to Completed. To begin delivery, return to the WHS dashboard and navigate to the Deliver scoreboard to start the delivery process.

To return to the WHS dashboard, click the back button in the bottom-left corner.

 
 

Requested Scoreboard

The Requested Scoreboard will be updated to reflect closed and deleted items. For additional details on the completed requested scoreboard, view the Completed Picked Worksheet.

 
 

Picked Scoreboard

The Picked Scoreboard will be updated to display all picked items, including those that are matched, shorted and not picked. The scoreboard details will include the addition of the Remaining column. This column will show the amount shorted, along with a deleted status (red). For additional details on the completed picked scoreboard, view the Completed Picked Worksheet.

 
 

Deliveries Scoreboard

The Deliveries Scoreboard begins by showing the delivery workflow for the picking document.

  • By selecting the "x", this will now provide the workflow for the picking process from requested on to work completed.
  • If the user selects the delivery workflow, the delivery window will update to view only mode. Once users start delivery for the picking document, the delivery window will be accessible to edit.
  • Refer to the To Deliver Scoreboard for additional information on the delivery process. 
 
 

Work History Scoreboard

The Work History Scoreboard shows the history of the picking process, provides the work logs for the document at the worker assigned, in progress and completed status. This includes user, comments, work status, time and date.
