To Deliver: Understanding the Scoreboard

The delivery scoreboard detail window showcases tasks related to stock requests and purchase orders that are ready for delivery. The delivery processes for receiving and picking are quite similar, with a key distinction in the scoreboard views. The receiving view will indicate "Ordered" and "Received," while the picking view will reflect "Requested" and "Picked."

To Deliver Scoreboard

Filter by Period

Use the Filter Period dropdown to filter by Today, Yesterday, Tomorrow, This Week, Next Week, This Month, Next Month, Past Due or All.

Note: The system will remember the filter period the user selected. When the user returns to this section or logs back in, the system will automatically apply the previously chosen filter period. If no filter is selected, the system will automatically apply the "today" filter period.

 
 

Search Here

The Deliver window includes smart contextual searching capabilities in the Search Here field that include:

  • Document Number
  • Deliver to Department Name
  • Participants
 
 

Details

The Deliver detail window displays tasks with additional information including:

  • Document#
  • Deliver to
  • Participants
  • Waiting since
  • Document totals
  • Actions
 
 

 

Delivery Tasks

There are 2 ways to navigate around the delivery scoreboard details leading to the same 2 task options once receiving/picking is completed. 

1. Start Delivery: The "document#"  is ready to start delivery

2. Assign Delivery: I want to assign the delivery of "document#" 

Whether you double click into the line item or use the action section, the result will be the same. 

The ability for others to unassign tasks is crucial, as it impacts individual performance metrics when a task transitions from Assigned to In Progress. Additionally, the "start a task" feature should automatically begin at the moment the task is physically started, allowing ample time for it to be unassigned if someone else is available to take over.

 
 

Double Click

Double-Click into the line item to view the 2 delivery tasks options:

1. Start Delivery: The "document#"  is ready to start delivery

2. Assign Delivery: I want to assign the delivery of "document#" 

 
 

Action: Start Delivery

  • This task option is used for the worker to immediately start the task. 
  • When the user selects "start delivery" a pop up window will appear with a comment section. The comment isn't required, but a good place to put any additional information that might be required by your property. 
 
 

Action: Assign Delivery

Assign Delivery: I want to assign the delivery of "document#"

  • This task option is used for the task to be assigned to a worker to work on. When searching for the assign to, the dropdown displays associates and task count.
  • Leaving the "assign to" field blank and selecting “assign task” will assign the task to yourself.
  • Once the task is assigned to the worker, it will appear in the Assigned to Me section.
 
 

 

Accessing the Worksheet

Start Delivery

To begin the delivery, either double-click the document or go to the actions menu and select the start delivery option. A successful task notification will appear. 

 
 

Understanding the Delivery Worksheet 

The Delivery scoreboard offers various features based on the document's work status. For a Receiving document, the Ordered and Received scoreboards display completed information from the receiving process. For a Picking document, the Requested and Picked scoreboards present completed information from the picking process. In WHS, the worksheet can be clicked to view information, but it's important to note that until the worksheet is finalized, the data can still be revised. Column Customization

Column Customization

Within any worksheet scoreboard, users can customize the columns they wish to display based on their preferences. To do so, click the three dots in the detail window, select 'Columns,' choose the desired metrics to display, and then click 'Apply.'

 
 

 

Runner Assigned Status

When is the document in “runner assigned” status?

On the delivery scoreboard, the user assigned the task. In the "assigned to me" widget, the user double-clicked the document that shows the worker assigned status document with the ability to unassign the task or start delivery. 

To Deliver Scoreboard → Assign Task→ Assign to Me Widget→Double-click Document

 
 

Runner Assigned Status

In the runner assigned status, the worksheet document allows users to either unassign delivery  or start delivery. The worksheet has restricted features, providing view-only access to the deliveries scoreboard.

The Deliveries Scoreboard in runner assigned is available to view but not input data.

 
 

Work History Scoreboard

The Work History Scoreboard provides the work logs for the document from the receiving / picking process to the current delivery runner assigned status which includes user, comments when the assignment was assigned, time and date.

 
 

 

In Transit Status

In Transit Status

When the user selects “Start Delivery” the task status changes from "runner assigned" to “in transit”.

In the In Transit status, the worksheet document allows users to either cancel delivery or accept delivery

Note: If the status of any line item is set to something other than "Accepted," the "Accept Delivery" option will automatically change to “Accept Partial Delivery.”

If the delivery needs to be rejected, use the dropdown next to the accept delivery and select "Reject Delivery".

 
 

Deliveries Scoreboard

The Deliveries Scoreboard (see detailed scoreboard below) allows users to enter delivery data before accepting the delivery.

Note: The scoreboard is automatically matched at all items accepted.

Work History Scoreboard

The Work History Scoreboard provides the work logs for the document from the receiving / picking process to the current in transit delivery status which includes user, comments when the assignment was assigned, time and date.

The worksheet deliveries scoreboard window displays delivery workflow timeline. 

The deliveries scoreboard displays:

  • Number of deliveries for the document
  • When it was delivered
  • Delivery Status will display once the delivery is accepted
  • Percentage of Completion displays 0% during the “in transit” status. Once completed will update to 100%.
 
 

Print Labels

Users can click on "Print Labels" to choose the type of label they want to print: inventory, retail, lot label or HACCP.

NOTE: Print label options vary based on the property.

Each print label option provides distinct attribute printing capabilities.

  • Inventory: Warehouse-related attributes include Storage Location, Shelf, and Carry Price.
  • Retail: Attributes related to selling items include SKUs, prices, UPCs, color, size, style, and brand.
  • Lot Label: Attributes related to the specific receipt of an item by the company include Date Received, Receipt Number, PO Number, and others.
  • HACCP: Attributes including nutritional labels, allergens, temperature checks, and other critical control factors.

 
 

Search Here

Ability to perform smart contextual searching including:

  • Item #
  • Product Name
 
 

Delivery Work Log

Use the “X” next to the search bar to see work log information. 

 
 

Status

The delivery status is automatically set to "Accepted." To change it, click on the accept status.

Use the dropdown menu to choose from the following status options:

  • Accepted
  • Rejected
  • Arrived Late
  • Wrong Product
  • Damaged

NOTE: If any line item status is set to something other than "Accepted," the Accept Delivery option will automatically change to "Accept Partial."

 
 

Delivered Products

The delivered items are arranged by product number, with details including the item number, item name, and item details. To see the item highlights, click on the product.

Item Highlights

Users can view the item highlights in the product column by clicking on either the product number or description.

The item highlight includes:

  • Item header with image, status, item number, item name, unit breakdown and the add to favorite feature. 
  • Locations 
  • Suppliers 
  • UPC
  • On Hand 
  • On Order
  • Back Order
  • Due with the ability to select Today, Overdue or Tomorrow
  • Ready to Pick
  • Average Usage with the ability to select Daily, Weekly, Monthly or Yearly

  • Amount Ordered per Unit
 
 

Delivered

Received Color coordinated by

  • Matched
  • Open
    • Displays amount opened.

Picked Color coordinated by

  • Matched

    • Displays amount delivered.
 
 

Rating

  • Rating is optional per line item. Users accepting the delivery can rate the product based on their satisfaction. Simply hover over and click on the desired star rating.
 
 

Comment

  • Rating is optional for each line item. Users accepting the delivery can add comments about the product based on their satisfaction. When selecting the product status, please use the comment field to provide any notes or remarks.
 
 

Actions

Create Task

  • Create a Task from the worksheet by selecting a task type from the dropdown.
    • Required: Summary
    • Optional: Additional Request Information, Priority, Assign to, Attachments.

Print Label

  • Print label options vary based on the property. 
  • Print Label per Item gives users the ability to view the label before printing.
 
 

Delivery Workflow

The delivery workflow displays work history information pertaining to the delivery task including:

  • Associate/User
  • Status
  • Date & Time
 
 

 

Steps for Accepting the Delivery

Step 1: Start Delivery

To begin delivery, either double-click the document or go to the actions menu and select the start delivery option.

Step 2: Deliveries Scoreboard

Once you start delivery, you'll be directed to the Deliveries Scoreboard. The worksheet scoreboard can be customized to display the metrics you want to view.

 
 

Step 3: Deliveries Status

The delivery status is automatically set to "Accepted." To change it, click on the accept status.

Use the dropdown menu to choose from the following status options:

  • Accepted
  • Rejected
  • Arrived Late
  • Wrong Product
  • Damaged

NOTE: If any item on the worksheet is not marked as accepted, the system will automatically switch to the "Accept Partial" option.

 
 

Step 4: Optional Information

Comments and ratings are optional features designed to help users make informed purchasing decisions. When users provide feedback on an item, it will be stored for future reference, allowing the purchasing team to access previous comments, ratings, experiences, and opinions about the product.

 
 

Step 5: Accepting the Delivery

Click the "Accept Delivery" action in the worksheet header, then fill out the details in the Accept Delivery pop-up window.

Signed for By: used for by the associate accepting the delivery; manually enter your name. 

  • If entering a badge number is part of your property SOPs, please include the badge number in the "Signed For By" field. Example: John Smith - 12345

Comment: The comment section is optional and allows you to add a remark regarding the acceptance of delivery.

Your Signature: Used for by the associate accepting the delivery; sign your name in the box.

Accept Delivery: Once the pop-up screen is completed, select accept delivery.

  • If any item on the worksheet is not marked as accepted, the system will automatically switch to the "Accept Partial" option.
 
 

 

Completed Status

Completed Status

Once the delivery is accepted, the task status changes from "in transit" to “completed”.

  • Accept Delivery: The delivery is being fully approved.
  • Accept Partial: If any item on the worksheet is not marked as accepted, the system will automatically switch to the "Accept Partial" option.
  • Refuse Delivery: Use the dropdown menu to refuse the delivery, if necessary.

The Scoreboard Details are complete, including the delivery workflow that includes the signature of the associate who accepted the delivery. 

To return to the WHS dashboard, click the back button in the bottom-left corner.

 
 

Deliveries Scoreboard

The Deliveries Scoreboard will be updated to display all delivered items, including delivery statuses, comments, ratings, the completed workflow and acceptance signature.

  • By selecting the "x", this will now provide the workflow for the delivery process from runner assigned to accepted.
  • If the user selects the delivery workflow, the delivery window will update to view the delivery details.
 
 

Work History Scoreboard

The Work History Scoreboard provides the work logs for the document from the receiving / picking process to the final completed delivery status which includes user, comments when the assignment was assigned, time and date.
