Understanding the Worksheet Attachment Tab

The worksheet attachment tab allows users to upload documentation for reference, bringing all relevant documents and information together in one place and saving time by eliminating the need to search for separate files elsewhere.

There are five attachment types available:

  • Packing Slip
  • Damaged Evidence
  • Other
  • Variance Support
  • Invoice Scan

Worksheet Attachments

Attachments Tab

In the worksheet document, go to the Attachments tab to upload any related documents.

 
 

Worksheet Header

The worksheet attachment header expanded displayed information including:

  • Department Name
  • Delivery Status
  • Document Number
  • Expand(+)/Collapse(-)
  • Date
  • Supplier
  • Receiving Area
  • Internal Reference #
  • Notes
 
 

Search Here

The Worksheet Attachments window includes simple search capability.

Simple Search: Document #, Attachment Name, Attachment Type, Uploaded By

 

Search Document #

The search functionality allows users to search by all document numbers displayed in the grid, including Source #, Receipt #, and Invoice #.

 
 
 

Details

The Worksheet Attachments grid includes:

  • Document: Associated document numbers.
  • Attachment Name: Name assigned to the uploaded attachment.
  • Attachment Type: Shows the selected attachment type from the Upload Documents feature, displayed as a color-coded badge for easier identification.
    • If no attachment type is shown in the grid, the attachment was uploaded via SAMMS.
  • Uploaded On: Date attachment uploaded.
  • Uploaded By: Participant whom uploaded the attachment.
  • Actions: View, Download and Delete
    • More information on Actions below.

 

Document Column

The Document column displays the associated document number(s), which may include Source #, Receipt #, and/or Invoice #.

  • Source #: Attachments added in SAMMS, selected through the Document field in PAY, or uploaded before the receipt was finalized in WHS.
  • Receipt #: Attachments uploaded after the receipt was finalized. 
  • Invoice #: Attachments linked to an invoice selected through the Document field in PAY.
 
 
 

 

Actions

View, Download and Delete

The attachment grid includes three actions: View, Download and Delete. 

  • View: Opens the attachment in the Upload Document window for easy viewing.
  • Download: Saves a copy of the attachment to your device for record-keeping or offline access.
  • Delete: Permanently removes the attachment from the system. 
    • Use with caution, as this action cannot be undone.
 
 

Invoice Scan Deletion Rules

Invoice scan attachments follow deletion rules to maintain data integrity:

Attachments cannot be deleted if they are linked to:

  • A paysheet that has already been reconciled, or
  • A paysheet that has been invoiced, or
  • A transaction that has been used in a 3-way match that resulted in an auto-payment.

Deletion Rules by Dashboard Access

WHS Dashboard Users:
Attachments can only be deleted before the related receipt is finalized.

PAY Dashboard Users:
Attachments can only be deleted while the related paysheet is in Drafting status.

If a user attempts to delete an invoice scan that falls under any of the restrictions above, the system displays the following error message:

“Invoice Scan Cannot Be Deleted From Paysheets After Drafting Has Been Completed.”

 

 

Upload Documents

Required Fields

Attachment Type

The Attachment Type field is required and is used to classify the attachment. 

  • Selecting the appropriate type helps organize and manage attachments more effectively.

 

 

Invoice Scan Attachments

Attachments labeled as Invoice Scan are automatically processed using Optical Character Recognition (OCR) in the PAY dashboard. This means that each time a new Invoice Scan is uploaded, the system will extract and verify key invoice details to support faster and more accurate processing.

This feature is only available with PAY Assist Basic Level or Higher.

 
 
 

Selecting the File

Uploading Documents

Drag and drop files into the upload area, or click the area to browse and select files.

You can also click the Select Files button to choose files from your device.

Supported File Types

DOC, PDF, XLSX, TXT, JPG, JPEG, GIF, PNG, MP4, MOV, EML 

Managing Files Before Uploaded

Click the edit filename icon to modify the name. 

Click the delete icon to remove it from the upload list.

Uploading the File

Click Upload add the attachment to the document.

  1. Select an Attachment type from the dropdown.
  2. Use the widget to drag and drop files, or click in the area to browse and select files manually.
    1. You can also use the Select Files button to choose files from your device.
  3. Click Upload to complete the process. 
 
 

 

Procurement Attachments

Attachments in SAMMS

Any attachments added in SAMMS during the creation of the PO will be available to view in the worksheet's attachments throughout all three status stages: Worker Assigned, In Progress and Completed.

In the video, we demonstrate how to view the attachment the buyer added when creating the PO to verify that the correct item(s) are being received.

 
 

Attachments in Worksheets

Attachments uploaded after the receipt is finalized (in completed status) will be visible in SAMMS under the RV.
