The receiving scoreboard detail window displays tasks that include purchase orders scheduled to be delivered.

To Receive Scoreboard

Filter by Period

Use the Filter Period dropdown to filter by Today, Yesterday, Tomorrow, This Week, Next Week, This Month, Next Month, Past Due or All.

Note: The system will remember the filter period the user selected. When the user returns to this section or logs back in, the system will automatically apply the previously chosen filter period. If no filter is selected, the system will automatically apply the "today" filter period.

 
 

Search Here

The Receive window includes smart contextual searching capabilities in the Search Here field that include:

  • Document Number
  • Supplier
  • Bill To 
  • Buyer

The Receive detail window displays tasks with additional information including:

Receiving Tasks

There are 2 ways to navigate around the receiving scoreboard details leading to the same task options once the truck has arrived.

1. Start Receiving: I plan to start receiving "document#" myself

2. Assign Task: I want to assign the task to someone

3. Shipment Arrived: Shipment for "document#" has arrived; can assign the task, will be in shipment arrived status in the associates assigned to me queue.

4. Open Report: Launches the delivery sheet report in a separate window with the ability to search, print or download the report.

The ability for others to unassign tasks is crucial, as it impacts individual performance metrics when a task transitions from Assigned to In Transit. Additionally, the "start a task" feature should automatically begin at the moment the task is physically started, allowing ample time for it to be unassigned if someone else is available to take over.

 
 

Double Click

Double-Click into the line item to view the 3 receiving tasks options:

1. Start Receiving: I plan to start receiving "document#" myself

2. Assign Task: I want to assign the task to someone

3. Shipment Arrived: Shipment for "document#" has arrived; can assign the task, will be in shipment arrived status in the associates assigned to me queue.

 
 

Action: Start Receiving

Start Receiving: I plan to start receiving "document#" myself

  • This task option is used for the worker to immediately start the task. 
  • When the user selects "start receiving," a pop-up window will appear with a comment section. While the comment is not mandatory, it's a useful space to note truck temperatures or any other information that may be needed for your property.
 
 

Action: Assign Task

Assign Task: I want to assign the task to someone

  • This task option is used for the task to be assigned to a worker to work on. When searching for the assign to, the dropdown displays associates and task count.
  • Leaving the "assign to" field blank and selecting “assign task” will assign the task to yourself.
  • Once the task is assigned to the worker, it will appear in the Assigned to Me section.
 
 

Action: Shipment Arrived

Shipment Arrived: Shipment for "document#" has arrived

  • This feature allows participants to record the truck arrival time and indicate drop shipments. Will display in worksheets scoreboard as "Shipment Arrived"
  • The shipment can be assigned to an associate. Once assigned, it will appear in the "worker assigned" status within the associate's "Assigned to Me" queue and on the worksheet scoreboard.
 
 

Action: Open Report

 Open Report: The Open Report action, accessible from the scoreboard grid, launches the delivery sheet report in a separate window, enabling users to efficiently search, print, or download the delivery sheet.

Accessing the Worksheet

Start Receiving

To begin receiving immediately, either double-click the document and select "Start Receiving," or navigate to the Actions column and choose the "Start Receiving" option.

How does the closed short shipment setting effect what you see on the worksheet document scoreboard?

If the closed short shipment setting is set to YES - the yellow shorted status goes to green (closed)

If the closed short shipment setting is set to NO - the yellow shorted status goes to blue (open) / expecting to receive a second delivery for the item shorted.

 
 

 

Column Customization

Column Customization

Within any worksheet scoreboard, users can customize the columns they wish to display based on their preferences. To do so, click the three dots in the detail window, select 'Columns,' choose the desired metrics to display, and then click 'Apply.'

 
 

 

Worker Assigned Status

When is the document in “worker assigned” status?

On the receiving scoreboard, the user assigned the task. In the "assigned to me" widget, the user double-clicked the document that shows the worker assigned status document with the ability to unassign the task or start receiving.

Worker Assigned Status

In the worker assigned status, the worksheet document allows users to either unassign the task or start receiving. The worksheet has restricted features, providing view-only access to the ordered and work history scoreboards; received and deliveries is unavailable.

 
 

Ordered Scoreboard

The Ordered Scoreboard displays the amount of items open on the ordered scoreboard as well as access to view items, including the ability to see item highlights, print labels, price retrieval information and perform item actions.

 
 

Received Scoreboard

The Received Scoreboard is unavailable in worker assigned status. To input received data, select "Start Receiving" to transition to In Progress status.

 
 

Deliveries Scoreboard

The Deliveries Scoreboard in worker assigned is not available.

 
 

Work History Scoreboard

The Work History Scoreboard provides the work logs for the document at the worker assigned status which includes user, comments when the assignment was assigned, time and date.

 
 

 

In Progress Status

In Progress Status

When the user selects "Start Receiving," the task status changes from "Worker Assigned" to "In Progress."

In the In Progress status, the worksheet document allows users to either cancel receiving or finalize receiving.

Note: If the document needs to be refused, use the dropdown next to the finalize receiving and select "Refuse Document".

 
 

Ordered Scoreboard

The Ordered Scoreboard (see detailed scoreboard below) similar to in worker assigned status, the scoreboard is available to view the items requested, see item highlights, print labels, view price retrieval information and perform item actions.

 
 

Received Scoreboard

The Received Scoreboard (see detailed scoreboard below) allows users to enter received data before finalizing the task.

Note: The scoreboard is automatically matched at all ordered items are received.

See steps 3 & 4 for inputting information.

 
 

Deliveries Scoreboard

The Deliveries Scoreboard in progress status is not available.

 
 

Work History Scoreboard

The Work History Scoreboard provides the work logs for the document at the worker assigned and in progress status which includes user, comments, work status, time and date.

 
 

 

Ordered Scoreboard

Ordered Scoreboard

The worksheet documentation ordered scoreboard window shows the items ordered, price, amount and the ability to print labels or view item maintenance. 

The ordered scoreboard will displays:

  • Document Total $$ (Ordered)
  • When it was Ordered
  • How many items are open (blue)
  • How many items are closed (green)
 
 

Filter by Department

Allows the user to filter the ordered items by either all departments that placed the orders or by a specific department.

 
 

Print Labels

Users can click on "Print Labels" to choose the type of label they want to print: inventory, retail, lot label or HACCP.

NOTE: Print label options vary based on the property.

Each print label option provides distinct attribute printing capabilities.

  • Inventory: Warehouse-related attributes include Storage Location, Shelf, and Carry Price.
  • Retail: Attributes related to selling items include SKUs, prices, UPCs, color, size, style, and brand.
  • Lot Label: Attributes related to the specific receipt of an item by the company include Date Received, Receipt Number, PO Number, and others.
  • HACCP: Attributes including nutritional labels, allergens, temperature checks, and other critical control factors.

 
 

Search Here

Ability to perform smart contextual searching including:

  • Product Number
  • Product Name
  • Price/Order Unit

Ordered Products

The ordered items are arranged by product number, with details including the item number, item name, and item details. To see the item highlights, click on the product.

Item Highlights

Users can view the item highlights in the product column by clicking on either the product number or description.

The item highlight includes:

  • Item header with image, status, item number, item name, unit breakdown and the add to favorite feature. 
  • Locations 
  • Suppliers 
  • UPC
  • On Hand 
  • On Order
  • Back Order
  • Due with the ability to select Today, Overdue or Tomorrow
  • Ready to Pick

  • Open quantity at the start of the receiving process.
  • If needed, you can view additional metrics associated with the worksheet by customizing the columns accordingly. 
    • Total Ordered column: view the total amount ordered on the PO.
    • Remaining column: view the open amount after the PO is received.

  • Print Label per Item gives users the ability to view the label before printing.

View Item

Received Scoreboard

Received Scoreboard

The worksheet documentation received scoreboard window shows the items ordered, received, price and the ability to print labels or view item maintenance. 

The received scoreboard will displays:

  • Document Total $$ (Received)
  • When it was Received
  • How many items are Matched (green)
  • How many items are Shorted (yellow)
  • How many items are Not Shipped (red)
  • How many items are Catch Weights (purple)

Received Status

The received status columns displays whether the item was received or not received.

By default, all items are marked as received. Select "Received" to switch the status to "Not Received."

If majority of the received items are not received, use the "Not Received All" toggle and then set the remaining items back to "Received."

 
 

Received Products

The received items are arranged by product number, with details including the item number, item name, and item details. To see the item highlights, click on the product.

Item Highlights

Users can view the item highlights in the product column by clicking on either the product number or description.

The item highlight includes:

  • Item header with image, status, item number, item name, unit breakdown and the add to favorite feature.

On Ordered

  • Open quantity on PO when the receiving was started.

 

What is the difference between the On Ordered and Total Ordered columns?

On Ordered is the quantity left open at the start of the receiving of the document. 

Total Ordered is the total amount ordered on the PO when requested.

The column quantities will differ when the item is shorted and the closed short shipment is set to No. 

Example: The original PO will show 10 Each "On Order" and 10 Each "Total Ordered." After receiving 7 out of the 10 items, the remaining 3 will be displayed in the "Remaining" column (customized for view). Once we accept the 7 items, the open PO will update to show 3 "On Order" and 10 "Total Ordered," indicating that we are now receiving the remaining 3 items, while the original order still reflects the total of 10.

 
 
 
 

Received

  • Received amount per unit
  • Received - Matched QTY: When the item is marked as Received, the Received column automatically shows a "Matched" status. If you see a green bubble, there's no need for further processing; just confirm that the quantity in the ordered amount matches the quantity in the shipment you are receiving.
  • Not Received - Not Shipped: When the item is marked as Not Received, the Received column automatically shows a "Not shipped" status. 
  • Received - Shorted QTY: If the item was received but short, select the field to enter the quantity that was received. Since the quantity received is less than what was ordered, the Received column will display the quantity per unit and indicate a "Shorted" status.
  • Received - Catch Weight: Catch weight items will be marked as "Yes" in the catch weight column. Depending on the Distribution center settings; catch weight can be required to enter. After entering the information, the received column will display the status as "Matched," or "Shorted," and “Catch Weight.”
  • Received - Exceeded: If the item has been received but the entered quantity exceeds the amount ordered, the Received column will show the quantity per unit and display an “Exceeded” status.
 
 

Remaining

  • Once finalized the column will update to reflect the shorted difference amount.
 
 

Actions

Received - Validations

Variance Validation

Enable Price Qty Variance Validation

Price quantity variance can be enabled or disabled in SAMMs by following these steps: Navigate to AdministrationCompany StructuresProperties → Select the Property → Control Settings tab → then toggle Enable PriceQty Variance Validation.

Enable PriceQty Variance Validation: By default, the box is checked, ensuring the system provides a validation notification if the price quantity exceeds the upper or lower receiving threshold percentage for the item.

Disable PriceQty Variance Validation: Unchecking the box will allow the user to enter a price and quantity that exceeds the variance set for the item.

 
 

Upper & Lower Receiving Variance

To display the variance validation notification, the ‘variances in use’ must first be configured for the item. The receiving variance can be set up by navigating to the Item Editor, then the Profile TabVariance in Use widget.

Use the Upper Receiving and Lower Receiving fields to set the variance percentage for the item, then select SAVE at the top.

 
 

Received Variance 

When the Enable Price Qty Variance Validation is checked and the upper and lower receiving variance are set for the item, if the user enters a quantity exceeding the allowed range percentage, the system will trigger a Received Variance validation.

Price Qty Variance 

When the Enable Price Qty Variance Validation is checked and the upper and lower receiving variance are set for the item, if the user enters a price quantity exceeding the allowed range percentage, the system will trigger a Price QTY Variance validation.

Catch Weight Validation

Catch Weight

If the Require All Catch Weight to Be Entered setting is enabled within the distribution center, the system will perform a proactive validation while a worksheet is in progress for an item that was order per price unit. This validation will highlight any items that require correction before finalization. If a catch weight is required for the item, the system will display a validation message stating Catch Weight to notify the user that a catch weight must be entered for the item.

Error Message: Must Enter Catch Weight

Finalizing a document without entering the catch weight will trigger an error message.
Please locate the 'Catch Weight' prompt to input the catch weight for the item.

 
 

Physical Inventory Validation

Physical Inventory

The Physical Inventory validation is temporary and takes place while the physical inventory is being counted. During this time, the document cannot be finalized. You can continue processing all other items, but any items marked with the Physical Inventory validation message will need to wait until the inventory is complete.

Error Message: Item currently being counted in a physical inventory

Attempting to finalize a document when an item is being counted in a physical inventory will trigger an error message.
Once the physical inventory counts are finished, the error will automatically clear, and you will be able to finalize the document.

 
 

 

Steps for Receiving a Document

Step 1: Start Receiving

To begin receiving, either double-click the document or go to the actions menu and select the start receiving option.

Step 2: Received Scoreboard

Once you start receiving the PO, you'll be directed to the Received Scoreboard. The worksheet scoreboard can be customized to display the metrics you want to view.

 
 

Step 3: Received Status

In the Receiving Scoreboard, the Receiving status is automatically marked as Received. If an item was not received, click “received” to change the status to “not received.”

If majority of the received items are not received, use the "Not Received All" toggle and then set the remaining items back to "Received."

  • Not Received If the status is set to "not received," the Received column will show “not shipped.”
  • Received: If the status is set to "received," the Received column will display “matched.”
 
 

Step 4: Received Column

  • The received column will automatically match at the amount ordered.
  • If the amount received is different than the amount ordered, click into the column section of the item and enter the quantity.
  • If the item is a catch weight, the system provides two input entries, one for the total ordered and one for the received catch weight.
  • Columns to assist with determining if an item is Catch Weight: 
    • Catch weight: shows whether an items is catch weight by displaying yes or no.
    • Price Quantity: displays the catch weight quantity that was ordered.
  • Color coordinated by
    • Shorted
    • Not Shipped
    • Matched
    • Catch Weight
    • Exceeded

Entering Catch Weight Items

Catch weight items match directly from the order at average weights. 

The user has the ability to enter the total ordered unit and/or the catch weight unit. 

Ordered 10 cases expecting 400 pounds.

Matched: Automatic, no action needed.

Shorted, Catch Weight: 9 cases delivered at more or less than 400 lbs total weight.

Matched, Catch Weight: 10 cases delivered at more or less than 400 lbs total weight.

 
 
 
 

Step 5: Finalizing Receiving

Complete the Finalize Receipt Pop-up window. 

Deliver To: This field is automatically populated. However, if there are multiple departments listed on the receiver, use the dropdown to select the delivery department.

Assign Delivery To: Optional, used to assign the delivery task to a participant. 

  • If the "assign delivery to" section is left blank and "finalize receipt" is selected, the document will be queued for other participants to start or assign the delivery task.
  • Utilizing the "assign delivery to" will immediately assign the delivery task to the selected participant.

Comment: The comment section is optional and allows you to add a remark regarding the finalized receipt or the start of delivery.

Finalize Receipt: Once the pop-up screen is completed, select finalize receipt. 

 
 

 

Completed Status

Completed Status

Once receiving is finalized, the status will update to Completed. The received worksheet document number will update to an RV number.

To begin delivery, return to the WHS dashboard and navigate to the Deliver scoreboard to start the delivery process.

To return to the WHS dashboard, click the back button in the bottom-left corner.

 
 

Ordered Scoreboard

The Ordered Scoreboard will update to reflect open and closed items. The On Order column will now display "Shorted," "Not Shipped," or "Matched." The amount column will update to reflect whether the item is “Open” or “Closed ”. For additional details on the completed ordered scoreboard, view the Completed Received Worksheet.

 
 

Received Scoreboard

The Received Scoreboard will be updated to display all received items, including those that are matched, shorted and not shipped. The Remaining column will update to reflect closed and open unit amounts. For additional details on the completed received scoreboard, view the Completed Received Worksheet.

 
 

Deliveries Scoreboard

The Deliveries Scoreboard begins by showing the delivery workflow for the receiving document.

  • By selecting the "x", this will now provide the workflow for the receiving process from requested on to work completed.
  • If the user selects the delivery workflow, the delivery window will update to view only mode. Once users start delivery for the receiving document, the delivery window will be accessible to edit.
  • Refer to the To Deliver Scoreboard for additional information on the delivery process. 
 
 

Work History Scoreboard

The Work History Scoreboard shows the history of the receiving process, provides the work logs for the document at the worker assigned, in progress and completed status. This includes user, comments, work status, time and date.
