Assign to Me: Understanding the Widget

The Assign to Me widget serves as your personal task queue, providing a centralized space to manage and track your assigned work. It helps you stay organized by keeping all drafting and reconciliation tasks in one easy to access location.

The Assign to Me widget is the user task queue for managing assigned work. 

 
 

Search Here

The Assign to Me window provides a Simple Search capability.

Simple Search: Use the search field box to search by Invoice # and Status.

 
 

Expand/Compress Icon

The Assign to Me widget includes an expand/collapse option to improve visibility and usability.

  • When expanded, the widget grows wider, giving you more space to view and manage your tasks. 
    • The quick search bar conveniently moves next to the Help icon in the header for easier access.
    • Use the Compress icon to return to default size. 

 

  • When compressed, the widget returns to its default size, and the quick search bar moves back to its original position.
    • Use the Expand icon to enlarge the widget.

 

This feature is designed to give you more flexibility when working with larger task lists, helping you stay organized and efficient.

 
 

Details

The Assign to Me grid includes:

  • Invoice #:
    • Priority Icon
    • Invoice Date
    • Invoice Number
    • Close Short Shipment
  • Type: 
    • Draft Badge: Indicates that the invoice is currently in the drafting phase and no variances have been detected yet.
    • Variance Type Badges: Display the types of variances that have been detected on the invoice, helping users quickly identify issues that need to be addressed.
  • Assigned On: Date and Time of Task Assignment color coded. 
    • Green - Assigned within the last 24 hours.
    • Yellow - Assigned more than 24 hours but less than 48 hours ago.
    • Red - Assigned more than 48 hours ago.
  • Status: Drafting and reconciliation statuses
    • Full details below.
  • Actions: Drafting and reconciliation actions
    • Full details below.

 

Hidden by Default: 

  • Bill To 
  • Supplier

 

Column Customization

  1. Click the three dots in the detail window.
  2. Select ‘Columns.’
  3. Choose the desired metrics you want to display.
  4. Click 'Apply.'
 
 
 

 

Statuses and Actions

Assigned Status

The Assigned status indicates that the invoice is in the Drafting phase. 

While in this status, the following actions are available:

  • Start Drafting - Begin working on the invoice draft.
  • Unassign Draft - Remove the draft assignment, making it available for others to claim.
 
 

Drafting Status

When an invoice is in the Drafting status, it means the invoice is currently being worked on during the drafting phase.

While in this status, the following actions are available:

  • Finalize Draft - This completes the drafting process and updates the invoice status based on variances:
    • If no variances are found, the invoice moves to Invoiced status.
    • If variances are detected, the invoice moves to Variance Detected status.
  • Cancel Draft - This cancels the drafting work and moves the invoice back to the Assigned status, making it available to assign to someone else to begin drafting.

 

 
 

Reconciler Assigned Status

The Reconciler Assigned status means the invoice is currently in the reconciliation phase.

While in this status, you can perform the following actions:

  • Unassign Variance - Reassign a variance to another participant for reconciliation, allowing the work to be redistributed as needed.

 

 
 

Reconciling Status

The Reconciling status means the invoice is currently in the reconciliation phase.

While in this status, you can perform the following actions:

  • Cancel Variance - Using this action cancels the reconciliation work and moves the variance back to the Reconciler Assigned status.

 

 
 

 

Paysheet Access

Accessing the Paysheet from Your Queue

Clicking on the row will take you directly to the Paysheet Document tab, where you can view the paysheet details and complete your work.
