Pay Insights: Current Work Status

The Current Work Status insight provides a clear visual snapshot of where invoices are in the process, with each bar representing a different status. Hovering over a bar reveals quick insights, including the number and percentage of invoices in that stage. The accompanying grid below updates dynamically based on all or selected statuses, allowing for deeper review. By default, the graph displays all statuses with the grid showing corresponding details.

Current Work Status

Current Work Filter

The Current Work filter is used to view the Current Work Status insights.

Period Filter

The Period filter is available to filter by Today, Yesterday, This Week, Last Week, This Month, Last Month or All Time

By default, the filter is set to This Week. When you choose a different period, the system saves your preference and automatically applies it the next time you access the insight.

 
 

Participants Filter

The Participants Filter helps you quickly find paysheets based on who has been involved in the process.

By default, the filter is set to Blank. When you choose a participant, the system saves your filter and automatically applies it the next time you access the insight.

 

 

How to Use the Participants Filter:

  1. Use the search bar to find a participant by name, or scroll through the list to locate them.
  2. Check the box next to the participant(s) you want to filter by - the grid will update to show only items involving those individuals.
  3. To add more participants, simply locate and select additional names.
  4. To reset the filter, click the Refresh icon.
  5. The quantity box shows how many participants are currently selected.

 

 
 
 

All Work/My Work Toggle

The All Work/My Work toggle lets users switch the insights view between statuses for all users or, when set to My Work, only the statuses relevant to their own tasks. 

My Work (Default)

 

All Work - includes Unassigned work. 

 
 

Toggle Chart

The Toggle Chart option controls the visibility of the bar graph. 

  • When enabled (highlighted in red), the graph is shown above the grid

 

  • When disabled (gray), only the grid details are displayed.
 
 

Toggle Details

The Toggle Details option controls the visibility of the grid details. 

  • When enabled (highlighted in red), the details are shown below the graph

 

  • When disabled (gray), only the graph is displayed.
 
 

Hover Insights

Hover over a status bar to see quick insights showing the number of invoices in that status out of the total, with the percentage displayed in parentheses.

 
 

Viewing Documents by Status

Clicking on any bar filters the grid below to show only the documents currently in that selected status.

A red hash outline highlights the currently selected status bar. The corresponding Status column in the grid will match the color of the selected bar for easy reference.

To view all documents in the grid again, simply click the currently selected status bar to unselect it and clear the filter.

The Current Work Status grid includes:

  • Invoice #:
    • Invoice Date
    • Invoice Number
  • Bill To:
    • Bill To Department Code
    • Bill To Department Name
  • Supplier:
    • Supplier Code
    • Supplier Name
  • Invoice Source:
  • Participants: Displays participants involved in the invoice
    • Drafter: User whom drafted the paysheet (first icon)
    • Reconciler: User reconciling the variance (shows variance chip next to the user).
    • Participant Column + Badge additional information below
  • Status: Current Work Statuses 
    • All Work: Unassigned, Drafting, Completed, Reconciled, Variance
    • My Work: Drafting, Completed, Reconciled, Variance 
      • See Variance Status Filter below for additional information 
  • Assigned On: Date and Time of Assignment color coded. 
    • Color Code corresponding to status column. 
  • Invoice Total:
    • Lines: Total Lines on the Invoice
    • Total: Invoice Amount

 

Participants Column + Badge

If the Participant column is adjusted, a “+” badge will appear, indicating there are additional participants linked to the invoice. 

Click the badge to see the Additional Participant popover, or expand the column to view all participants.

 

 

Variance Status Bar Filter

Selecting the Variance status bar filters the grid to show documents with open variances, including those in Variance Detected, Reconciler Assigned, and Reconciling statuses.

 

 

Hidden by Default: 

  • Type: 
    • Draft Badge: Indicates that the invoice is currently in the drafting phase and no variances have been detected yet.
    • Variance Type Badges: Display the types of variances that have been detected on the invoice, helping users quickly identify issues that need to be addressed.

 

Column Customization

  1. Click the three dots in the detail window.
  2. Select ‘Columns.’
  3. Choose the desired metrics you want to display.
  4. Click ‘Apply.’

Note - All Columns for the Current Work Status Insights are visible on the grid. 

 
 
 

Clicking on a detail line in the grid takes you to the paysheet in Read-Only Paysheet Access view.
