Variance: Understanding the Scoreboard

The Variance Scoreboard is a powerful tool designed to help users quickly spot, track, and resolve discrepancies. It streamlines the resolution process by automatically detecting and flagging issues, making it easier to ensure invoice accuracy and accountability.

The Variance scoreboard displays the total number of discrepancies based on the selected parameters applied. 

This number may vary depending on the combination of filters applied.

 
 

Variance Detected On Filter

Use the Variance Detected On Filter dropdown to view documents by Today, Yesterday, Tomorrow, This Week, Next Week, This Month, or All Period

These intuitive filters help users quickly filter documents within the selected timeframes. 

By default, the filter is set to This Month. When you choose a different period, the system saves your preference and automatically applies it the next time you access the scoreboard.

 

Note: The Variance Detected On column is hidden by default. To view it, use the column customization options to add it to your grid.

 
 

Variance Type Filter

To help users prioritize their work, the Variance Type filter allows sorting by specific variance categories: Price, Quantity, Freight, Tax, Discount, Misc, Supplier, or All Variances.

By default, the filter is set to All Variances. Once a filter is selected, the system remembers the filter choice and automatically applies it the next time you return to the scoreboard.

 
 

Variance Status Filter

The Variance Status filter is a multi select filter that allows users to narrow down paysheets based on variance status selected. Filter options include: Variance Detected, Reconciler Assigned, Reconciling and Reconciled.


The filter allow you to quickly narrow down paysheets based on your selected criteria.

The filter has no default setting, however when you choose an variance status, the system saves your preference and automatically applies it the next time you access the scoreboard.

 
 

Participants Filter

The Participants Filter helps you quickly find paysheets based on who has been involved in the process.

By default, the filter is set to Blank. When you choose a participant, the system saves your filter and automatically applies it the next time you access the scoreboard.

How to Use the Participants Filter:

  1. Use the search bar to find a participant by name, or scroll through the list to locate them.
  2. Check the box next to the participant(s) you want to filter by - the grid will update to show only items involving those individuals.
  3. To add more participants, simply locate and select additional names.
  4. To reset the filter, click the Refresh icon.
  5. The quantity box shows how many participants are currently selected.

 

 
 
 

All/Open Variance Toggle

By default, the Variance toggle is set to Show All, allowing users to view both open and reconciled variances. 

Users can switch the toggle to Open Variances to focus only on those that remain unresolved. Displaying variances in the following statuses: Variance Detected, Reconciler Assigned or Reconciling.

Search Here 

The Variance window provides a Simple Search capability.

Simple Search: Use the search field box to search by Invoice # and Status.

 

Simple Search Bar Reminder

The simple search bar retains your search as you navigate between different scoreboards and dashboards. When you return to the scoreboard, the results will still be filtered based on the active search. To remove the filter, click the “×” icon in the search bar.

 

 
 
 

Details 

The Variance grid includes:

  • Invoice #:
    • Invoice Date
    • Invoice Number
  • Supplier:
    • Supplier Code
    • Supplier Name
  • Status: Variance Type Statuses 
    • Variance Detected, Reconciler Assigned, Reconciling, Reconciled
  • Participants: Displays participants involved in the invoice
    • Drafter: User whom drafted the paysheet.
    • Reconciler: user reconciling the variance. 
      • Click on the user icon to view work audit information on the reconciler.
  • Invoice Total:
    • Lines: Total Lines on the Invoice
    • Total: Invoice Amount
  • Actions: Actions vary depending on the status of the variance. Hover over the action to view the action name and invoice #.

Column Customization

  1. Click the three dots in the detail window.
  2. Select ‘Columns.’
  3. Choose the desired metrics you want to display.
