Paysheets: Understanding the Scoreboard

The Paysheets scoreboard gives users a clear, visual overview of an invoice’s entire lifecycle - from drafting and reconciliation all the way to completion. It acts as a central hub where you can track the progress of each invoice, understand its current status, and see who’s been involved at each stage.

  • Full Invoice Lifecycle at a Glance: Easily see where an invoice stands; whether it's in drafting, reconciling, or invoiced.
  • Detailed Document Status: View the 3-Way Match status, invoice source badges, and any variances that have been triggered.
  • Participant Visibility: Understand which individuals have interacted with the document during its lifecycle.
  • One-Stop View: Instead of digging through multiple pages, the scoreboard shows the full story of the document in one place.
  • Read-Only Paysheet Access: Clicking on a paysheet opens a read-only version, where you can review key decisions and the current state of the invoice.

The Paysheet scoreboard is designed to make it easy for users to stay informed, make decisions faster, and gain full transparency into the invoice journey.

Paysheets Scoreboard

The Paysheets scoreboard displays the total number of paysheets in the system based on the selected parameters applied. 

This number may vary depending on the combination of filters applied.

 
 

Created On Filter

Use the Created On Filter dropdown to view documents by Today, Yesterday, This Week, Last Week, This Month, Last Month, All Time or Date Range

These intuitive filters help users quickly filter documents within the selected timeframes. 

By default, the filter is set to This Month. When you choose a different period, the system saves your preference and automatically applies it the next time you access the scoreboard.

 

Note: The Created On column is hidden by default. To view it, use the column customization options to add it to your grid.

 

How to Use the Date Range Filter:

The date range filter helps you narrow down results to a specific time period allowing you to only see the documents or data that matter to you.

How to Use the Date Range Filter:

  1. Check the Date Range box to enable the filter.
  2. Select your Start and End Dates from the calendar.
  3. The system will automatically update the results to show only items within the selected date range.
  4. To clear the selected dates and perform a new search, click the Refresh icon.
  5. To view all results, choose All Time from the filter dropdown menu.
 
 
 

Participants Filter

The Participants Filter helps you quickly find paysheets based on who has been involved in the process.

By default, the filter is set to Blank. When you choose a participant, the system saves your filter and automatically applies it the next time you access the scoreboard.

How to Use the Participants Filter:

  1. Use the search bar to find a participant by name, or scroll through the list to locate them.
  2. Check the box next to the participant(s) you want to filter by - the grid will update to show only items involving those individuals.
  3. To add more participants, simply locate and select additional names.
  4. To reset the filter, click the Refresh icon.
  5. The quantity box shows how many participants are currently selected.

 

 
 
 

Reconciled On Filter

Use the Reconciled On Filter dropdown to view documents by Today, Yesterday, This Week, Last Week, This Month, Last Month, All Time or Date Range

Invoice Source Filter

The Invoice Source filter is a multi select filter that allows users to narrow down documents based on invoice source(s) selected. Filter options include: Received, Not Received, EDI, Attachment, OCR and Scheduled 3WM. 


The filter allow you to quickly narrow down documents based on your selected criteria.

The filter has no default setting, however when you choose an invoice source, the system saves your preference and automatically applies it the next time you access the scoreboard.

 
 

Search Here

The Paysheets window provides a Simple Search capability.

Simple Search: Use the search field box to search by Invoice #, Three Way Match Status, Document #, Paysheet Status, Supplier and Bill To.

 

Simple Search Bar Reminder

The simple search bar retains your search as you navigate between different scoreboards and dashboards. When you return to the scoreboard, the results will still be filtered based on the active search. To remove the filter, click the “×” icon in the search bar.

The Paysheets grid includes:

  • Invoice #:
  • Document #:
    • Document Number
    • Paysheet Status
      • More information below. 
  • Variance: 
  • Participants: Displays participants involved in the invoice
    • Drafter: User whom drafted the paysheet.
    • Reconciler: user reconciling the variance. 
      • Click on the user icon to view work audit information on the reconciler.
  • Payment Date: Date the invoice is scheduled to be paid. 
  • Invoice Total:
    • Lines: Total Lines on the Invoice
    • Total: Invoice Amount

Column Customization

  1. Click the three dots in the detail window.
  2. Select ‘Columns.’
  3. Choose the desired metrics you want to display.
  4. Click 'Apply.'

Paysheet Access

Viewing the Full Procure-to-Pay Journey

Clicking on a Paysheet row will take you directly to the Paysheet Document tab, where the paysheet is displayed in read-only mode. From there, you can view the entire procure-to-pay journey in one place with the ability to view key stages through scoreboards. The paysheet provides an intuitive, visual overview of each step, helping you easily track progress and understand where the document stands in the process.

Invoiced Status Paysheets

Invoiced Status Paysheets will include the following scoreboards: 

  • Requested
  • Sourced
  • Received
  • Invoiced
  • Work History

Reconciled Status Paysheets
