The WHS dashboard header includes filters and restrictions to manage distribution centers, enabling logical grouping of inventories and receiving areas. Selecting a distribution center filters receiving and picking workflows, displaying only relevant documents. Users can also add or remove associates, inventories, and receiving areas for each distribution center.

Accessing WHS
To access the WHS dashboard, a user must be granted company access and assigned one of the following system roles: System Admin, Warehouse Admin (WHSAdmin) and Warehouse User (WHSUser).
After logging into WHS, the dashboard will display only the information corresponding to the user's assigned access rights.

Distribution Center

Distribution Center Access
The warehouse dashboard header shows the distribution center currently being accessed. If no distribution center is displayed in the header, it means the associate has not been granted security access.
Please contact a warehouse admin to have them add you to the distribution center. See “Add Associate” below.

Error Message: User is not an associate of the Distribution Center
If the following error message (User is not an associate of the “name” Distribution Center) appears after logging in, the user must be added as an associate to the distribution center to gain access.

Security Roles
There are two security roles within the Warehouse Module: Warehouse Admin (WHSAdmin) and Warehouse User(WHSUser).
Warehouse Admin
- Assigned by corporate with the Warehouse Admin access role in SAMMS.
- Cannot promote another warehouse user to the Admin role; this must be done by the system admin outside of the warehouse.
- Admins have visibility into all distribution centers, regardless of their association with the center.
- Authorized to create new distribution centers.
- Can modify the settings of any distribution center.
- Able to add or remove users granted the warehouse role to distribution centers.
- Can assign or modify system attributes to associates.
- Has the ability to add or remove inventories and receiving areas from distribution centers.
- Utilizes the distribution center setup to manage associates security attributes for Receive, Pick, Deliver and Assign Tasks.
- Admins can access a distribution center, its scoreboard, and all related data; however, they may not appear in the list of associates when assigning tasks or transferring work unless the security attributes are set to "yes."
Warehouse User
- Can only view the distribution center they are a member of.
- Cannot create or modify distribution centers.
- Can only perform tasks authorized by the Warehouse Admin.

Setup and Navigation
Distribution Center Workspace
If applicable, use the arrow to view or select a different distribution center. Please note that not all users have access to multiple distribution centers. The dashboard will update to show the selected distribution center. If you only have access to one distribution center, the dashboard will automatically display tasks related to that center upon login.
Creating a New Distribution Center
A new distribution center can be created from the distribution center window, starting with the entry of the distribution center name.

Setting Action
To modify a distribution center's settings, select the settings icon. The distribution center settings include three scoreboards: Associates, Inventories, and Receiving Areas, along with individual value configurations.
Returning to the Previous Window
To return to the previous window while managing the Distribution Center, click the Insight Configurations icon - this will flip the widget back to the prior view.

Closing the Distribution Center
To close the Distribution Center and return back to the dashboard, simply click the dropdown icon.

DC Settings
Associates
Associates Scoreboard
The Associates scoreboard displays the number of users associated with the distribution center. Select the scoreboard to manage associates within the distribution area.
To allow a user to perform tasks at a distribution center, they must first be added as an associate for that center. Once added, warehouse admin can assign security attributes based on the user's responsibilities within the system.
Use the page navigator at the bottom of the screen if needed.

Add Associates
Use the "Add Associate" field to search for or select an associate from the dropdown to add to the distribution center, enabling them to perform work within WHS.
The associate list is organized in alphabetical order by first name.
Once the associate is added to the distribution center, assign the appropriate security attributes.

Security Attributes
The Distribution Center Editor will feature four security attributes on the associate screen, enabling the warehouse admin to grant specific access to associates.

Assign To and Reassign To Fields
The "Assign to" and "Reassign to" fields will be filtered to show only associates with the security attributes set to "Yes." If an associate does not appear in the field assign/reassign dropdown, they must be granted the necessary permissions.
Remove Associates
Use the delete action to remove an associate from the distribution center, revoking their access and ability to perform tasks within the center.

Associate Warehouse Dashboard
Associate Warehouse Dashboard
The Associate Warehouse Dashboard configures itself in a number of ways based on the security attributes and permissions assigned to the user.
Depending on these attributes, the dashboard will display relevant scoreboards. For instance, if an associate has receiving permissions, the "To Receive" scoreboard will be visible for them to complete tasks.
If the associate does not have "Assign Task" security attributes, the "Assign Task" action will appear in the Scoreboard queue, allowing them to assign the task to themselves and leave a comment. However, the dropdown menu to assign tasks to others will be unavailable. Additionally, if the associate selects "Cancel" or "Unassign Task" in their "Assigned to Me" section or an individual worksheet, they will not be able to reassign the task. While the comment field remains accessible, the associate will not have permission to assign tasks, and the task will automatically be returned to the queue.
In the example image below, the user has Receiving and Picking security attributes, while Delivery and Assign Task are set to "No." This is evident because the "To Deliver" scoreboard is not displayed, and the "Assign Task" action includes only the comment section without the dropdown menu.

Worksheets - Read Only View
Users with read-only access to worksheets can view all relevant information without the ability to modify, receive, pick, deliver, or assign tasks. In the short term, setting up a user as an associate with restricted permissions will allow them to only view worksheets.
In the future, deliveries will be incorporated into smart requisitions, providing users with complete visibility once the process is finalized.

Associate Error Messages
Error Message: The Associate is not authorized to perform Receiving Work
If you encounter the error message (The Associate is not authorized to perform Receiving Work) when accessing the To Receive scoreboard, it means the user is listed in the distribution center but lacks the necessary Receiving Security Attribute permissions to perform receiving tasks.
Please reach out to a warehouse admin to have the 'Receive' attribute toggled to 'Yes' in the associates scoreboard, which will grant you the ability to perform receiving tasks for the distribution center.

Error Message: The Associate is not authorized to perform Picking Work
If you encounter the error message (The Associate is not authorized to perform Picking Work) when accessing the To Pick scoreboard, it means the user is listed in the distribution center but lacks the necessary Picking Security Attribute permissions to perform picking tasks.
Please reach out to a warehouse admin to have the 'Pick' attribute toggled to 'Yes' in the associates scoreboard, which will grant you the ability to perform picking tasks for the distribution center.

Error Message: The Associate is not authorized to perform Delivery Work
If you encounter the error message (The Associate is not authorized to perform Delivery Work) when accessing the To Deliver scoreboard, it means the user is listed in the distribution center but lacks the necessary Delivery Security Attribute permissions to perform delivery tasks.
Please reach out to a warehouse admin to have the 'Deliver' attribute toggled to 'Yes' in the associates scoreboard, which will grant you the ability to perform delivery tasks for the distribution center.

Error Message: You can not assign tasks to other users
If you encounter the error message (You can not assign tasks to other users) when trying to assign or reassign tasks to other associates, it means you currently lack the required Assign Task Attribute permissions.

Please reach out to a warehouse admin to have the 'Assign Task' attribute toggled to 'Yes' in the associates scoreboard, which will enable you to assign or reassign tasks to others.

Inventories
Inventories Scoreboard
The Inventories scoreboard displays the number of inventory departments associated with the distribution center. Select the scoreboard to view, add, or remove inventory departments from the center.
Documents that list the distribution center inventories as the "Distribute From" department will appear in the to pick scoreboard. (Inventory Documents)
Use the page navigator at the bottom of the screen if needed.

Add Inventories
Use the 'Add Inventory Department' field to search for or select an inventory department from the dropdown to add it to the distribution center, enabling tasks to be performed for the added inventory.

Remove Inventories
Use the delete action to remove an inventory from the distribution center, which will disable the ability for users to perform tasks for that inventory.

Receiving Areas
Receiving Areas Scoreboard
The Receiving Area scoreboard displays the number of receiving areas associated with the distribution center. Select the scoreboard to view, add, or remove receiving areas from the center.
Documents that list the distribution center receiving area as the "receiving area" in the procurement documents will appear in the to receive scoreboard. (Purchasing Orders/Releases)
Use the page navigator at the bottom of the screen if needed.

Add Receiving Area
Use the 'Add Receiving Area' field to search for or select a receiving area from the dropdown to add it to the distribution center, allowing tasks to be performed for the added receiving area.

Auto Receive
The Auto Receive setting controls whether documents assigned to a Receiving Area are automatically received when they enter the open state.
This option is shown as a Yes / No button.
- No (Default): Documents must be received manually.
- Yes: Any document assigned to this Receiving Area will be automatically received as soon as it enters the Open state.
Enabling Auto Receive
When Auto Receive is set to No, selecting Yes will display a confirmation message before the change is applied. This confirmation helps prevent accidental activation of automatic receiving.
Once confirmed, Auto Receive is enabled and the toggle will update to Yes.

Remove Receiving Area
Use the delete action to remove a receiving area from the distribution center, which will disable the ability to receive products associated with the removed receiving area.
Note: When creating a purchase order for an inventory department within a distribution center, the receiving area must also be listed in the distribution center for the purchase order to be visible.

Worksheet Settings

Require All Catch Weight Be Entered
Require All Catch Weight Be Entered: Use the yes/no toggle to specify whether associates are required to enter the catch weight for all items.
- Yes (Default): The system will require the field to be entered and will perform a validation before the receipt is finalized.
- No: Disable the requirement for users to enter catch weight values. Items will match directly from the order using average weights, and entering catch weight will be optional.

Email Short Shipment Notifications
These settings control whether email notifications are sent when a receipt is finalized.
Email Short Shipment Notifications

Yes (Default): Short shipment notification emails are enabled.
- There has to be one non received line or one line marked as shorted for the notification to generate.
- No: No short shipment notification email is sent.

Email Delivery Confirmations
These settings control whether email notifications are sent when a receipt is finalized.

Yes (Default): Delivery confirmation emails are enabled.
- Receive Request Confirmation in the User Details (SAMMS), must be set to Yes to opt-in to receive delivery confirmations.
- No: No delivery confirmation email is sent.

Delivery Settings

Enable Delivery Feature
Enable Delivery Feature: Use the yes/no toggle to determine whether the "To Deliver" scoreboard and the deliveries worksheet scoreboard will be utilized during the receiving and picking process.
- Yes (Default): Utilizes the to deliver scoreboard and deliveries worksheet scoreboard. When finalizing a document, the user has the option to "assign delivery to" the designated Deliver To department.
- No: Disables the to deliver scoreboard and deliveries worksheet scoreboard. When finalizing, the user can only add comments and finalize the document, as the delivery feature is disabled.

Require Signature on Delivery
Require Signature on Delivery: By default, users are required to provide a signature upon delivery. However, this configuration can be adjusted to disable the signature requirement.
- Yes (Default): The “Your Signature” field, when accepting the delivery, will require the user to sign before they can complete the acceptance process.
- No: Disable the required signature on delivery, making the “your signature” field optional when accepting the delivery.

Close Stock Reqs
Close Stock Reqs: Use Close Stock Reqs to chose when the stock requisition should be considered closed.
- After Picking: Closes the Stock Reqs once the requested items have been picked.
- After Delivery: Closes the Stock Reqs once the requested items have been delivered.

Printer Settings

Print to Route
Print to Route setting controls whether the Receipt Document is automatically printed when a receipt is routed to a receiving area.
- Yes : Automatically prints the Receipt Document to the receiving area's local printer when the receipt is routed.
- No (Default): Does not automatically print the Receipt Document.

Default Printer
Default Printer: Use the field to assign the printer used by the Distribution Center for inventory label printing. Setting a default printer reduces the need to select a printer each time labels are printed from document worksheets.

Default Label Template
Default Label Template: Use the field to assign the inventory label template used by the Distribution Center. Setting a default template reduces the need to select a label template each time labels are printed from document worksheets.
Auto Receive Settings
Enable Auto Receive
Enable Auto Receive: Use the setting to control whether the Auto Receive process runs for the Distribution Center.
- The setting is No by default.
- When set to Yes, the following configurations are required before the Save action becomes available:
- Document Batch Size
- Documentation Finalization Wait Time
- Frequency
Receiving Area Auto Receive
The Receiving Area Auto Receive Settings continue to apply when Auto Receive settings are enabled.
If all Receiving Area Settings are set to No, Auto Receive will still run but will have no work to process. In this case it is recommended to set Enable Auto Receive settings to No.
If any Receiving Area is set to Yes, Auto Receive will attempt to process receipts for that area.
If Enable Auto Receive setting is set to No, the Auto Receive process will not run, even if one or more Receiving Areas are set to Yes. No receipts will be process until Enable Auto Receive is toggled to Yes.

Document Batch Size
Document Batch Size: Number of documents Auto Receive can process during each run.
- The default batch size is 50 documents.
Document Finalization Wait Time
Document Finalization Wait Time: Used to specify how long a document should be finalized before Auto Receive can process it.
- 0 Minutes: No waiting period. Auto Receive can process any eligible document, including documents finalized seconds ago.
- 1- 60 Minutes: Auto Receive only processes documents that were finalized at least the specified number of minutes ago.
Frequency
Frequency: Use the setting to determine how often Auto Receive runs. Select a frequency from the dropdown and complete the required fields for the selected option.
- Once Daily: Displays a time picker where the hour, minutes, and AM/PM are required to specify when Auto Receive runs each day.

Multiple Times a Day: Select up to three times for Auto Receive to run each day.
- Three time picker controls are available, with one required time and two optional times.
- For each selected time, specify the hour, minutes, and AM/PM.
- Process Every X Minutes: Select the number of minutes to specify how frequently Auto Receive runs.
Save Button Behavior in REC Center Configurations
If no changes are made, the Save button remains disabled and appears darkened.
Once any changes are made, the Save button becomes enabled and turns red, indicating there are pending changes that need to be saved.
Distribution Center Audit
Accessing the Distribution Center Audit
The Distribution Center Audit can be accessed by entering the distribution center's settings. This audit feature is integrated into the distribution center editor and is available to all admins for each distribution center.

Audit Logs
The distribution center audit logs track who made changes, what modifications were made (Added, Updated, Deleted), and when those changes occurred. They specifically capture adjustments related to the associate, inventory, and receiving area scoreboards, as well as individual value settings like printer configurations, catch weight validations, and delivery signatures.
By default, the most recent changes are displayed first.

Audit Log Filters
Admins can use the "Apply Filter" feature to search for changes based on the following criteria:
- Change Type (All, Add, Update, Delete)
- Associate User (User to whom the change was applied)
- Created by User (User who made the change)
- Date (Date of the change)
